Overview

Jwalix ("Jwalix", "we", "us", or "our") provides a multi-tenant, Intelligence behind every hire ("ATS") used by talent teams and staffing agencies to manage jobs, candidates, interviews, campaigns, and placements. This Privacy Policy explains what information we collect through our marketing website and our product application, how we use it, and the choices available to you.

If you use Jwalix on behalf of an employer or agency (a "Customer"), your Customer's own internal policies and agreement with us govern how your employer uses the platform. This policy addresses how Jwalix itself, as the service provider, handles information.

Information We Collect

  • Account and profile information — name, work email, company name, role; provided at signup, demo request, or added by an org admin.
  • Recruiting data entered into the product — job requisitions, candidate profiles, resumes, interview notes, pipeline activity. Belongs to the Customer org that entered it; Jwalix processes it on that org's behalf.
  • Usage and device information — browser type, IP address, pages visited, general interaction data (cookies/similar tech).
  • Communications — info provided when contacting support, submitting a form, or corresponding.

How We Use Information

We use information to provide, operate, and maintain the platform (including authentication and session security); respond to inquiries and support requests; send product, billing, and account communications; improve and secure our site and app; and comply with legal obligations.

Data Storage & Multi-Tenancy

Jwalix is multi-tenant: each customer org ("tenant") has its own logically isolated database, and every backend request is scoped to the requesting user's tenant via a tenant identifier resolved from that org's own database configuration. One customer's data — jobs, candidates, notes, reports — is not accessible from another tenant's context.

Within a tenant, access is further controlled by role-based permissions down to individual actions per module (view vs. edit vs. delete), enforced on every request.

Authentication uses short-lived access tokens plus refresh tokens, refreshed silently in the background, so access can be revoked or expired without disrupting mid-session work.

We do not publish a specific list of infrastructure providers or sub-processors on this page at this time; that information will be made available through our order form or a dedicated sub-processor list as our operations mature.

Cookies

Our website and product use cookies for essential functions (staying signed in) and usage analytics. These are controllable via browser settings; disabling essential cookies may affect sign-in or product use.

Data Retention

We retain account and recruiting data while a Customer's subscription is active, plus a reasonable period after (for account recovery, legal obligations, dispute resolution, and agreement enforcement). Specific retention periods vary by data type and customer agreement and are not finalized in this template; they will be defined precisely as part of legal review and reflected in individual customer order forms.

Your Rights

Depending on your location and relationship to us, you may have rights to access, correct, export, or delete personal information, or to object to or restrict processing. Requests about candidate or employee data related to an org's own use of Jwalix are generally directed to that org first, since they control what was entered. You can also reach Jwalix directly and we will route the request.

Changes to This Policy

We may update this policy from time to time. The "Last updated" date will change on material updates, with additional notice given where appropriate.
